Job Summary

As part of the Administrative Support Services Team, this position is responsible for overall administrative functions at PPL and providing support to the Director of Administration.  They will supervise the administrative staff offering guidance and training, as well as delegating work tasks, managing and prioritizing workloads, and work schedules. Their job is to ensure that day-to-day operations of the organization run smoothly. 

This individual will also be responsible for answering the main multi-line phone system at the PPL Service Center; offering excellent customer service to guests, staff, and clients over the phone and in person, along with other administrative tasks.

Essential Duties and Responsibilities

Administrative Support Functions (75%)

  • Respond to inquiries from all callers, visitors, guests, staff members, clients, or volunteers and make appropriate referrals in a respectful and timely manner.
  • Oversee Outlook calendars including conference rooms, van fleet, and other resources.
  • Distribute and deliver US and interoffice mail daily; assist in processing daily mail including overnight, registered and international items; postmark outgoing mail using a postage meter.  Maintain postage accounts and permits. Facilitate courier service as needed.
  • Provide administrative support that includes but is not limited to, data entry, meeting set-up, invoice processing, copy projects, mailings, solving office equipment problems, and routing faxes.
  • Write detailed receipts for incoming rent payments.
  • Order and maintain inventory of office supplies.
  • Provide general upkeep to the lobby area and all common areas.
  • Understand, endorse, and support the mission of PPL.
  • Other administrative support tasks as assigned.
  • Plans, organizes, supervises, and evaluates the work of the front desk Administrative Assistants.
  • Implements and monitors individual & department work plans to achieve assigned goals and objectives.
  • Evaluates plans, processes, systems, and procedures to achieve goals, objectives, and performance measures consistent with quality and service expectations.
  • Responsible for ongoing evaluation of staff members and providing feedback.
  • Must identify areas of weakness and departmental inefficiencies, and provide appropriate recommendations for resolving issues.
  • Understand and comply with strict confidentiality guidelines when working with all confidential records.

Supervision (25%)

  • Plans, organizes, supervises, and evaluates the work of the front desk Administrative Assistants.
  • Implements and monitors individual & department work plans to achieve assigned goals and objectives.
  • Evaluates plans, processes, systems, and procedures to achieve goals, objectives, and performance measures consistent with quality and service expectations.
  • Responsible for ongoing evaluation of staff members and providing feedback.
  • Must identify areas of weakness and departmental inefficiencies, and provide appropriate recommendations for resolving issues.

Supervisory Responsibilities

This position will be responsible for the supervision of 3-4 administrative assistants.

Minimum Requirements

  • H. S. diploma or GED equivalent, with 3 – 5 years’ experience in Office Administration or Front Desk Reception. 
  • Minimum 2 years supervisory experience.
  • Proficient in the use of Microsoft Office.
  • Able to operate a multi-line phone system effectively.
  • Excellent organizational skills, ability to prioritize and handle multiple tasks and follow projects through to completion in a timely manner.
  • Ability to take initiative and to work both independently and as part of a team.
  • Must have excellent interpersonal skills and strong desire to serve people from diverse cultures, economic and social situations.
  • Must have a valid driver’s license, a good driving record as determined by our insurance carrier, proof of insurance and access to reliable transportation.

Salary: $19.00-$21.00/hr., DOQ
