Job Summary:

PPL (Project for Pride in Living) seeks a talented, detail-oriented individual with strong multitasking skills to join the Volunteers Team as a Volunteer Manager. This role entails full-cycle recruitment of volunteers, interns, and work-study students for PPL’s diverse programs, encompassing both one-time and ongoing opportunities. Additionally, the Volunteer Manager will support various volunteer management activities and projects aimed at fulfilling PPL’s mission.

Essential Duties and Responsibilities:

Community engagement and outreach

  • Build new strategies and support existing relationships with community members and partners.
  • Attend trainings, community conversations, and networking opportunities to understand and implement best practices in volunteer management.
  • Conduct info sessions both virtual and in-person at faith communities, schools, and organizations as a recruitment strategy to educate community/past volunteers on PPL and volunteer opportunities.

Volunteer management (individual and group/corporate volunteering)

Ø  Work with PPL staff to determine group volunteer needs (e.g., food shelf, painting, etc.).

Ø  Recruit, coordinate and supervise group volunteer projects.

  • Recruit, screen, interview, and place volunteers, interns, and work-study students in various programs at PPL.
  • Support staff in creating volunteer, intern, and work-study position descriptions as needed.
  • Run volunteer background checks, conduct phone and in-person interviews, and check references.
  • Develop new recruitment strategies and partnerships to provide ongoing sources of volunteers, interns, and work studies for sites and increase the diversity of the volunteer pool.
  • Develop and implement strategies to increase corporate and community engagement in beautification projects.
  • With program staff, design orientation/training content and materials, coordinate logistics, and conduct initial volunteer and intern orientation.
  • Support supervisors to utilize best practices for working with volunteers and alternative staff (interns, service members, work-study students)
  • Visit program sites (as needed) and work collaboratively with site coordinators and program supervisors to ensure ongoing volunteer support and training.

Data Collection and Evaluation

  • Collect volunteer hours from all supervisors on a monthly basis and enter them into the volunteer database.
  • Coordinate timely data collection and reporting to provide information for proposals, reports, and communications.
  • Manage updates in the volunteer database to ensure all information is accurate.
  • Create and share surveys and evaluations with volunteers to gather feedback and make changes to the program as needed.
  • Manage volunteer database and train new users as needed.
  • Develop and implement strategies to build volunteer engagement and increase volunteer retention.
  • Develop content for the volunteer newsletter in collaboration with the Donations and Engagement Coordinator.
  • Create and manage ongoing volunteer appreciation strategy and plan; organize annual Volunteer Appreciation event.
  • Resolve issues and complaints as they arise.

Volunteer Engagement, Appreciation, and Retention

  • Develop and implement strategies to build volunteer engagement and increase volunteer retention.
  • Develop content for the volunteer newsletter in collaboration with the Donations and Engagement Coordinator.
  • Create and manage ongoing volunteer appreciation strategy and plan; organize annual Volunteer Appreciation event.
  • Resolve issues and complaints as they arise.

 Supervisory Responsibilities:

Does not supervise other staff but may direct the work of interns and volunteers as needed.

Additional Expectations

  • Perform all functions professionally, treating any individual involved in an assigned task with respect and in a manner that demonstrates ability to effectively address issues.
  • Maintain confidentiality of volunteer information.
  • Maintain a level of flexibility with all staff, offering assistance to others as appropriate.
  • Perform other tasks, responsibilities, and special projects as assigned or directed. Some evening and weekend hours will be required. 

Minimum Qualifications:

  • Two years of volunteer coordination or community outreach experience with a nonprofit organization.
  • Experience implementing strategies to engage communities to volunteer with the organization.
  • Some experience with presentations and tabling preferred
  • Experience using a volunteer or other constituent relationship management system.
  • Knowledge of community programs and resources.
  • Valid driver’s license and a working, insured vehicle required. 

Minimum Technology Qualifications:

  • Advanced ability with Excel is a requirement.
  • Interest in and aptitude towards data management is a requirement.
  • Demonstrated proficiency with MS Office Suite, Zoom, Teams, Canva, and online meeting platforms.
  • Ability to use office equipment including telephone and voicemail system, copier, printer, fax machine and scanner.
  • Ability to access and navigate online databases.
  • Ability to use MS Outlook.
  • Ability to navigate the internet and electronic timecard system.
  • Ability to navigate computer networks (files, drives, and folders).
  • Ability to navigate SharePoint

Salary: $61,000.00 -$64,000.00 annually DOQ      

 

PPL's work structure has evolved into a Hybrid Model, striking a balance between on-site presence at the office or satellite locations (60%) and remote work from home (40%).
