Job Summary

As part of the Career Center Administrative Support Services Team, the Administrative Assistant will provide administrative expertise and support to our guests and visitors in the PPL Campus-Career Center Building. In this position, you will provide general administrative and clerical assistance to internal and external customers through greeting and directing visitors, answering a multi-line phone system, processing mail, ordering office supplies and overseeing conference room and van fleet calendars. We are looking for a professional individual with strong attention to detail, ability to multitask, and excellent customer service skills.

Essential Duties and Responsibilities: 

  • Respond to inquiries from all callers, visitors, guests, staff members, clients, or volunteers and make appropriate referrals in a respectful and timely manner.
  • Oversee Outlook calendars including conference rooms, van fleet & other resources.
  • Distribute and deliver US and interoffice mail daily; assist in processing daily mail including overnight, registered and international items; postmarking outgoing mail using postage meter.  Facilitate courier delivery service when requested. Maintain postage accounts and permits.
  • Provide administrative support that include but are not limited to, data entry, meeting set-up, invoice processing, copy projects, mailings, solving office equipment problems, & routing faxes.
  • Order and maintain inventory of office supplies.
  • Maintain sufficient program specific information in the lobby such as brochures, handouts, and other items used to disseminate program information.
  • Provide general upkeep to the lobby area and all common areas of the Career Center.
  • Proficient in the use of Microsoft Office.
  • Able to operate a multi-line phone system effectively.
  • Excellent organizational skills, ability to prioritize and handle multiple tasks and follow projects through to completion in a timely manner.
  • Must have excellent interpersonal skills and strong desire to serve people from diverse cultures, economic and social situations.
  • Ability to take initiative and to work both independently and as part of a team.
  • Ability to lift and carry up to 30 lbs.

Minimum Requirements

Education and/or Experience

  • High School Diploma/GED and one year of office administration or front desk experience

Salary: $16.00-$17.00/hr., DOQ
